Medfeel Cycling Tours
This document sets out the Particular Conditions governing the combined travel contract between Medfeel S.L. (hereinafter referred to as “Medfeel”) and the Client/Guest for the provision of cycling trips that include transfers, accommodations, cycling services (such as bike rental and/or private guide), and other optional leisure experiences. Each trip is defined in a Trip Agenda, which will be provided at the time of booking and forms an integral part of this contract.
1. Particular conditions
Tour Name, Dates, Price, Itinerary, Place, Payment Details, Accommodation, Transport, Number of Participants: All specific conditions relating to your trip (including tour name, dates, pricing, itinerary, accommodation, transport, and number of participants) are detailed in the Trip Agenda you receive at booking. The Client acknowledges and accepts the category, features, and locations of accommodations and transport as indicated. Medfeel reserves the right to substitute accommodations with others of equal or higher standard, subject to availability.
2. Execution of the tour
Medfeel SL is responsible for delivering the services included in the contract in accordance with Article 161 of Royal Legislative Decree 1/2007 (Spain). We will provide timely assistance if required during the trip. Additional charges may apply for support required due to negligence or intentional actions by the Client. Service deficiencies must be reported immediately, preferably during the trip, so that Medfeel may address them as quickly as possible.
3. Entry requirements
Clients are responsible for having valid passports, visas, travel permits, and other documentation necessary for entry and participation in the tour.
4. Insurance
Travel and health insurance are not included. Clients must arrange adequate travel insurance covering medical emergencies, trip cancellation, personal injury, and cycling-related activities before departure.
5. Cancellation policies and fees
Cancellation fees are specified in the Trip Agenda and additional details are available on the Medfeel website Cancellation Policy page. No refunds for unused services during the trip.
6. Modifications of the program
If the Client requests changes after deposit payment, Medfeel will do its best to accommodate your new plans. However, please note: Changes requested within 90 days of the trip start date are very difficult to arrange due to confirmed bookings for accommodations, bike rentals, and other services; All changes are subject to availability and may involve additional costs depending on timing and services already confirmed (such as hotel reservations or bike rentals).
7. Claim
Any claim must be reported during the trip, or within 5 calendar days after its conclusion. Legal limitation periods are set by RD 1/2007 of November 16.
8. Client responsabilities
The Client declares being in good health and physically capable of cycling safely. The Client must comply with traffic laws, wear helmets, and respect pedestrians and other road users. The Client assumes all responsibility for personal accidents resulting from negligence or failure to follow safety instructions.
9. Special requests
Special requests accepted by Medfeel will be reflected in the Trip Agenda.
10. Data protection
Medfeel SL processes personal data in compliance with the General Data Protection Regulation (GDPR) and the Spanish Organic Law 3/2018 (LOPDGDD). Data is processed exclusively for managing your trip and related services, and may be shared with service providers for booking purposes. Please see our full Privacy Policy for further details.
11. Transfer reservation
The principal Client may transfer the booking to another person who meets the participation conditions. The transfer must be communicated in writing at least 15 days before departure.
12. Responsibility of the principal client
If booking for multiple travelers, the principal Client confirms that all participants have read and accepted the Trip Agenda and these Terms & Conditions.
13. Jurisdiction
Both parties submit to the jurisdiction of the Courts of Palma de Mallorca (Spain), expressly waiving any other jurisdiction.
Hotel's Bike Rentals and other Ancillary Cycling Services
1. Client responsibilities
The lessee is obliged to use the bicycle and its equipment responsibly. The bicycle must be returned in a clean state and in perfect working condition, or additional charges may apply. The lessee must promptly inform Medfeel S.L. of any damage or theft of vehicles or equipment. The lessee will be responsible for repair costs, and in case of theft, will have to pay the market value of the item via credit card. The bicycle will be provided by Medfeel S.L. in perfect condition, and any imperfections will be documented in the rental contract and shown to the client. The lessee will not be held responsible for damages or deterioration resulting from normal use of the bicycle. The lessee is responsible for securing the bike overnight in a garage or closed room for security. It is advisable to keep the bicycle in sight at all times to prevent theft.
The lessee is responsible for any damages caused to themselves or others during the rental period. Medfeel S.L. does not accept responsibility for claims from third parties regarding accidents, injuries, or damages caused by the lessee, nor for any loss of personal property.
2. Insurance
Optional bike insurance covers up to €500 in repair costs for accidental damage. Any repair costs exceeding €500 are the renter's responsibility. Insurance does not cover theft, loss, or willful damage. All incidents must be reported immediately to qualify for insurance coverage.
3. Cancellation policies
Cancellation policies for bike rental services, both manual and electric, are as follows:
- More than 14 days before rental: 95% refund
- 14 to 7 days before rental: 70% refund
- 7 days to 48 hours before rental: 50% refund
- Less than 48 hours before rental: No refund
Guide and Transfer Services: Guide and transfer services may be cancelled free of charge up to 48 hours before the agreed time (for large groups exceeding 4 PAX, it will be 72 hours). Cancellations made after this deadline will result in the total charge of the contracted service fee.
Weather Conditions: In case of obvious bad weather on the day of the reservation, such as rain, wind, or other atmospheric conditions severely impeding the service, Medfeel SL will first propose to postpone the service to one of the following days. If the customer cannot reschedule the service or mutual agreement on availability is not reached, the cancellation will be free of charge.
Cancellation by Medfeel®: In the event that Medfeel® cancels the service for various reasons, no charges will be made for the services reserved by the customer under any circumstances. Medfeel SL undertakes to notify the customer as soon as possible in case it is necessary to cancel the service for reasons beyond the customer's control.
Cancellation Procedure: Cancellations must be notified to Medfeel® in writing or by phone, either by email or through the previously agreed communication channel.
4. Safety
The lessee is responsible for adhering to all existing traffic laws in Spain. Helmets are compulsory for all riders and are included with your rental if requested. The renter acknowledges that cycling involves inherent risks and agrees to assume all responsibility for their safety. Medfeel is not liable for any injuries sustained during the rental period. We recommend that you always carry identification and a mobile phone with you. Additionally, consider obtaining accident insurance coverage during your holiday.
5. Data Protection
We collect personal information solely for the purpose of processing your reservation and providing our services. Your information will not be shared with third parties except as necessary to fulfill your reservation.
